About the client:
🚀 Our client is a U.S. strategy and brand consulting studio that helps founders and leadership teams clarify strategy, identity, and direction, and then translate that clarity into execution across brand, narrative, and systems.
Rather than “running campaigns,” they focus on making the business make sense—internally and externally.

This is not a traditional Executive Assistant role.
This position exists to reduce founder cognitive load, convert ambiguity into clarity, and build operational leverage across a fast-moving strategy and creative studio.
You will begin with execution and coordination, and are expected to grow into judgment, anticipation, and systems ownership. If you are seeking a task-only support role with fixed instructions, this role will not be a fit.
Core Purpose
Act as the founder’s operational brain extension.
This includes:
- Turning chaos into clarity
- Protecting time, attention, and priorities
- Anticipating needs before they surface
- Designing simple systems that prevent repeat confusion
- Acting with judgment, not just responsiveness
This role creates leverage. It does not wait for instructions.
Who This Role Is For
This role is well-suited for someone who has:
- Operated above their formal title
- Supported a founder, CEO, or senior leader in a fast-paced environment
- Experience as an Engagement Manager, Project Lead, Operations Generalist, Founder’s Associate, or high-judgment EA
- A strong inclination toward systems, structure, and clarity-building
- Interest in a clear growth path toward Chief of Staff–level responsibility
Executive Assistant experience is valuable. Strategic or operational experience is equally valuable. Judgment, ownership, and learning velocity matter more than pedigree.
This Role Is Not
- A passive administrative position
- A narrow task-execution role
- A role with constant instructions
- Suitable for someone uncomfortable with pace, ambiguity, or modern tools
Tools Used Daily
- ClickUp
- Google Calendar, Docs, Drive
- Slack
- Notion
- AI tools (ChatGPT, Claude)
- CRM (Bigin or similar)
Application Process
Instead of a traditional cover letter, shortlisted candidates will complete a Right-Hand Simulation designed to assess:
- Clarity of thinking
- Judgment
- Prioritization
- Systems instinct
- Ownership
We care more about how you think than how you polish.
Final Note
This role is for someone who wants to grow alongside a founder, not simply support from the sidelines.
If you are energized by responsibility, clarity-building, and becoming a true force multiplier, we want to hear from you.
Key Responsibilities
1. Founder Operations & Communication (Immediate Ownership)
- Full ownership of calendar, inbox, scheduling, and follow-through
- Drafting and responding in the founder’s voice with warmth and precision
- Summarizing long threads into decisions, actions, and priorities
- Preparing daily and weekly briefs outlining what happened, what matters, and what requires decisions
- Filtering noise to keep the founder operating at the correct altitude
Success looks like: Clients and partners experience the founder as present and responsive—without the founder being directly in the inbox.
2. Information Processing & Task Conversion
- Convert voice notes, Slack messages, Looms, meetings, and ideas into clear, actionable tasks
- Build and manage ClickUp tasks with owners, deadlines, dependencies, and context
- Track execution across multiple parallel workstreams
- Relentlessly close loops and ensure follow-through
Success looks like: Nothing slips. No chasing. The founder is no longer the bottleneck.
3. Anticipation & Judgment
- Identify risks and issues before they escalate
- Prepare decision-ready options without prompting
- Make judgment calls within agreed-upon guardrails
- Say “no” or “not now” on the founder’s behalf when appropriate
Success looks like: The founder feels mentally and operationally “held.”
4. Systems, Tools & AI Leverage
You will actively use and continuously improve:
- ClickUp (tasks, views, dependencies, dashboards)
- Google Workspace (Calendar, Docs, Drive)
- Slack
- Notion
- AI tools (ChatGPT, Claude) for drafting, summarization, briefs, and synthesis
- CRM basics (Bigin or similar)
You are expected not only to use systems, but to quietly improve them.
Success looks like: Less confusion, fewer handoffs, and faster execution—without added complexity.
5. Coordination Across a Distributed Team
- Liaise with strategy, design, operations, and delivery collaborators
- Maintain meeting rhythms, agendas, notes, and follow-ups
- Ensure the right information reaches the right people at the right time
Growth Path: Chief of Staff Track (Months 4–12)
As trust and judgment compound, scope expands into:
- Running internal operating cadence
- Leading internal initiatives
- Preparing the founder for key decisions and conversations
- Representing the founder in selected meetings
- Designing dashboards, rituals, and operating rhythms
Success looks like: You become the second brain of the business.
